LIMBA Tournament Hosting Procedure

Purpose

LIMBA encourages coaches and teams to host tournaments as a way to promote community engagement and support the growth of local softball and baseball. Tournaments serve as important economic drivers for Middlesex Centre, Lucan Biddulph and surrounding communities by attracting visitors, supporting local businesses, and showcasing our facilities.


Procedure

  1. Proposal and Initial Approval
    • Coaches or team representatives interested in hosting a tournament must submit proposed dates to:
      • The Umpire-in-Chief
      • The President of LIMBA
      • The Director of Softball Operations (for softball tournaments)
    • These individuals will review and approve the proposed tournament dates to ensure there are no conflicts with league or association schedules.
  2. Municipal Coordination
    • Once approved internally, the President or Director will contact the Municipality of Middlesex Centre or Lucan Biddulph to confirm field and facility availability for the proposed tournament dates.
    • The tournament host must wait for confirmation from the municipality before publicly posting or advertising the event.
  3. Tournament Promotion
    • After receiving municipal approval, the tournament may be posted for team registration on appropriate platforms (e.g., league websites, social media, registration portals).
  4. Fundraising Approval
    • At least 60 days prior to the tournament start date, hosts must submit a summary of any planned fundraising activities (e.g., concession operations, sponsorships) to the Director of Fundraising and Sponsorship.
    • This ensures alignment with LIMBA fundraising policies and avoids overlap with other association initiatives.

  • LIMBA supports and promotes coach-led tournament hosting as a way to enhance development opportunities for players and strengthen community involvement.
  • All tournaments must comply with LIMBA policies, municipal requirements, and governing body rules (e.g., P.W.S.A., Baseball Ontario, etc.).
